The system of working with us consists of several stages:
- Negotiations with sellers in the markets and factory representatives
- Purchase of the goodsyou’ve selected
- Receiving of goods at the warehouse and quality control (detailed online photo-report from the warehouse).
- Customs clearance of cargo
- Shipping to the country of the buyer
- Assistance in customs clearance of cargo (if requested by the client)
- Inland cargo transportation from the port / railway terminal / airport to a warehouse in the buyer’s city
Process of the Purchase
After all the issues are resolved, we purchase the goods. If we are talking about a small batch, rather than placing a large order, it is often enough to fill-out an invoice and take a picture of the sample. A special label is assigned to thegoods withan encrypted data about the buyer, the seller, the time of purchase, etc.
In this example, PA indicates the initials of the customer, 1 — the supplier’s serial number in this purchase, 12 – product article number , and below the quantity in the box (on the right) and the price in Yuan (on the left) at the customer’s request. This special label helps us and our customers to effectively work with information.
For example, if a customer buys a 40-foot container, then in total, the current list of this purchase may contain more than 500 goods from around 30 factories.
If he needs to clarify something about aproduct, all he needs do istospecify the code and our managers in China will immediately understand what kind of purchase is being talked about, which supplier and what specific product.
Each invoice has two copies. We give one to the supplier, the second goes to our client. The delivery time, the rules for marking boxes and the type of packaging are immediately stipulated with the supplier.
Receiving the goods in the warehouse and quality check
Once the goods are delivered to the warehouse, we start the verification process. Our employees open the packages in the presence of the supplier and check the goods for compliance with the declared characteristics and requirementswith the help of the photos and videos made during the purchase. The goods must fully correspond to the pattern that the seller confirmed during the negotiations.
All boxes are weighed and measuredby their exact dimensions and volume. Information on the results of the confirmation is promptlysent to the customer, after which we fill-up an act of receipt. Once thetransaction with the seller is considered complete, a new stage begins –the logistics.
When all the goods have been delivered to the warehouse and checked, loading begins. Usually we order a large container, «HQ». Тhe large capacity container (about 68 cubic meters), allowsseveral customers to consolidate their cargo and save on transport costs. It’s called Consolidated Container.
It takes an average of 2-2.5 hours of vigorous labor of 4 loaders to load one 40-foot container.
Customs clearance of cargo in the country of the manufacturer
The registration of permission to export from China usually takes several hours. However, according to Chinese law, certain types of goods must pass mandatory certification.
In cases of large purchases the factories handle the entire documentation process. In cases of small batches from a dozen factories, the preparation of export-import documentation is done by our specialists. We try to do this in advance while the consolidation of purchases is taking place at our warehouse. In some cases this may take up to 2 extra days. After all necessary procedures, the container is sealed with a special seal, the number is given to the customer.
Shipment of cargo to the buyer’s country and customs clearance
The most optimal route and type of transport are taken into accountwhile shipping the cargo. Most often we use a combination of several methods. For example, auto + rail, or sea freight + auto, rail + air and so on. The timing, as well as the cost of shipping depends on the specific route and the methods used. We offer the customer all the available logistics options and advice for each of them. Once the cargo arrives in the customer’s country, the next step is customs clearance. At the request of the customer, we can also handle the filling out of all necessary documents.
